This Privacy Policy explains how Automation Magic (“we”, “us”) processes information when you use our services, including hosted workflow infrastructure (e.g., hosted n8n accounts) and managed automation services (done-for-you automation implementation and operations).

1. Scope
This policy applies to:
- Visitors of our website and legal pages on automation-magic.com
- Customers using our Hosted Infrastructure services
- Customers using our Managed Automation services
- End users who interact with our customers through automated workflows (e.g., messaging a business that uses our automations)
2. Roles & Responsibilities
Depending on the service, we may act as a data processor (processing on customer instructions) or as a service provider supporting a customer’s business operations. In most cases:
Automation Magic does not independently contact end users and processes messages only on behalf of the business that owns the relevant page/account.
- Hosted Infrastructure: We typically act as a Data Processor for our customer. The customer (the business) is the Data Controller.
- Managed Automation: We process data to deliver the agreed automation scope. The customer remains responsible for their lawful basis, notices to end users, and compliance with platform rules.
End users should generally contact the business they interacted with first, because that business controls the purpose and means of the processing.
3. Information We Process
Depending on workflows and integrations configured, data may include:
- Identifiers & contact info: names, usernames, email addresses, phone numbers, page IDs, conversation IDs
- Message content: inbound/outbound messages, attachments shared through connected platforms
- Business context: orders, tickets, CRM records, booking details, operational metadata
- Technical data: logs required to run and secure the service (e.g., timestamps, system events)
We do not intentionally collect highly sensitive categories of data. If a customer chooses to process such data, they are responsible for ensuring lawful handling and appropriate safeguards.
4. How We Use Information
We process data to:
- Provide, operate, and maintain our services
- Configure and run automations according to an agreed scope
- Monitor reliability, prevent abuse, and secure systems
- Provide customer support and troubleshoot technical issues
- Comply with legal obligations where applicable
We do not sell customer content. We do not use customer workflow data for advertising or profiling.
5. AI Processing
Automations may use AI services to classify, summarize, extract structured information, generate suggested replies, or route requests. AI processing occurs automatically as part of workflow logic and the customer’s configuration.
Customers determine what data is sent to AI providers through their workflow design. Where we manage automations, we implement AI processing as agreed.
6. Sharing & Disclosure
Data may be shared with:
- Customer-selected integrations: platforms and tools the customer connects (e.g., WhatsApp/Messenger/Instagram, email, CRMs, databases)
- Infrastructure providers: hosting, networking, and security services necessary to run our systems
- Legal requirements: where required by law or to protect rights, safety, and security
Data may be processed through hosting, networking, security, and messaging platform providers required to operate the service.
7. Security
We implement reasonable administrative, technical, and organizational measures to protect information against unauthorized access, alteration, or disclosure. No method of transmission or storage is 100% secure.
8. Data Retention
Data retention depends on the service and the customer’s configuration. Generally, data is retained while the customer account is active and as needed for operations, backups, and security. Upon termination, we delete customer data within a reasonable operational period, unless a different period is agreed in writing or required by law.
9. Cookies & Analytics
Our website may use essential technical mechanisms to deliver the site. If we deploy analytics or non-essential cookies in the future, we will update this policy accordingly.
10. Your Rights & Requests
If you are an end user interacting with a business using our services, please contact that business first. If you are our customer, you may request access, correction, deletion, or export of your data where applicable.
